Cancellation Policy

Bitesize Digital School CIC (“we,” “us,” or “our”) is committed to providing flexibility for our students and families while maintaining a clear and fair policy for programme cancellations. This policy outlines the terms and conditions for discontinuing a student’s enrolment or subscription with us. Your understanding and adherence to these terms are essential for a smooth process.
1. Applicability
This policy applies to all current students enrolled in our multi-phase programmes and their respective parents, guardians, or carers who manage their subscriptions. It should be read in conjunction with our Admission Policy and Terms and Conditions, which govern the broader relationship between Bitesize Digital School CIC and our students/families.
2. Programme Structure & Monthly Billing
Our educational programmes are structured into distinct, one-year phases. While enrolment is managed on a monthly subscription basis via Direct Debit, each payment secures the student’s place and access to learning resources for the upcoming billing month within their current active phase.
3. How to Cancel Your Enrolment
To formally cancel a student’s enrolment and stop future payments, you must provide written notice via email to admissions@bitesizedigital.school.
Notice Period Requirement:
- A minimum of seven (7) calendar days’ written notice is required before the start of the next billing month to avoid being charged for that upcoming month.
- Example: If your billing cycle renews on the 1st of each month, you must submit your cancellation notice by the 24th of the preceding month to avoid being charged for the 1st of the next month.
4. Fees Upon Cancellation
Cancellation Before a New Billing Month Begins (with Sufficient Notice):
- If your cancellation notice is received at least seven (7) calendar days before the start of a new billing month, and the student has not yet accessed any lessons or materials for that upcoming month, your subscription will be cancelled without any charge for the un-commenced month.
Cancellation After a New Billing Month Begins or Without Sufficient Notice:
- Once a student has commenced a new billing month (e.g., by attending a lesson, accessing course materials for that month, or if insufficient notice was given as per Section 3), the full monthly fee for that current billing month remains due and payable, regardless of the number of lessons attended or materials accessed within that month.
- No Refunds will be issued for the current month’s subscription if the billing month has already begun.
5. Refund Policy
- Non-Refundable Tuition: All tuition fees paid to Bitesize Digital School CIC are generally non-refundable, as detailed in our Admission Policy.
- Refunds for Pre-Payments (Rare Cases): In the rare instance where a student may have prepaid for multiple months (e.g., through a specific promotional offer), refunds for any entire, unused future months (i.e., months for which services have not yet commenced and sufficient cancellation notice was given) will be processed. Such refunds will be processed within thirty (30) calendar days of receiving your valid cancellation notice.
- No Refunds for Absences or Partial Attendance: No reduction in fees, refunds, or credits will be offered for individual student absences, whether due to illness, personal reasons, technical issues on the student’s end, or for partial attendance within a billing month. Students are encouraged to use recorded sessions for missed classes.
6. Consequences of Cancellation
Upon effective cancellation of enrolment:
- Access Revocation: The student’s access to all online learning platforms, course materials, live sessions, and any associated support channels will be terminated at the end of the last paid-for billing month.
- Certificate Eligibility: Completion certificates will only be issued for phases fully completed and paid for prior to cancellation.
- Alumni Network: Access to our Post-Graduation Alumni Community is typically reserved for Bitesize Digital School Graduates who have successfully completed all four phases of our programme. Cancellation prior to this milestone may impact future eligibility.
7. Re-enrolment After Cancellation
If a student wishes to re-enrol after a period of cancellation, such re-enrolment will be subject to:
- Course Availability: Spaces in relevant phases and classes.
- Current Fees: Re-enrolment will be at the current prevailing programme fees applicable at the time of re-enrolment.
- Curriculum Alignment: Depending on the duration of absence and any significant curriculum changes, the student may be advised or required to restart from an earlier phase to ensure foundational knowledge aligns with the current programme structure. This will be determined at our discretion.
8. Exceptional Circumstances
While our policy is clear regarding refunds and cancellations, Bitesize Digital School CIC recognises that truly exceptional and unforeseen circumstances (e.g., severe prolonged illness, bereavement) may arise. In such cases, parents/guardians may submit a written appeal to admissions@bitesizedigital.school, providing full details and supporting documentation. Any decision regarding a deviation from this policy will be made solely at the discretion of the Senior Leadership Team on a case-by-case basis.
9. No Admission, Enrolment, or Catch-up Fees
For complete transparency, Bitesize Digital School CIC confirms that we do not charge separate admission fees, enrolment fees, or additional fees for standard catch-up resources (such as access to recorded sessions). Your monthly payment covers access to the core programme as outlined.
10. Changes to This Cancellation Policy
We may update or amend this Cancellation Policy from time to time to reflect changes in our practices, legal requirements, or services. When we make significant changes, we will notify you by updating the “Last Updated” date at the top of this policy and, where appropriate, by providing a more prominent notice (e.g., via email).
